Yarn Studios – Event Space Rental Terms & Conditions

1. Booking & Payment

               •             The event space must be booked in advance at an agreed hourly rate.

               •             Full payment is required before the booking is confirmed.

               •             Refunds or rescheduling are only possible with at least 48hr notice.

               •             The hirer must adhere to the agreed rental hours—arriving early or staying late may result in additional charges.

2. Permitted Use

               •             The space is to be used only for the agreed purpose, such as events, workshops, or exhibitions.

               •             Subletting or sharing the space with other groups is not permitted without prior approval.

               •             Noise levels must be kept reasonable to avoid disrupting other tenants.

               •             The hirer must not tamper with or install anything onto the structure, fixtures, or fittings without written consent. This includes but is not limited to suspension ropes or similar equipment.

3. Health & Safety

               •             The hirer is responsible for ensuring the safety of all attendees.

               •             First aid equipment must be accessible, and emergency procedures must be followed.  

               •             The event space must be used in a way that prevents injury or damage to the premises.

               •             All attendees who are hiring or occupying the top floor must sign in and sign out on the designated sign-in/out book, providing their name and contact details. This procedure is required for emergency evacuation purposes.

4. Liability & Insurance

               •             The hirer must have valid public liability insurance for their event.

               •             Yarn Studios is not liable for any injuries, accidents, or loss of personal belongings during the hire period.

5. Condition & Cleanliness

               •             The event space must be left clean and tidy after use.

               •             Any damage must be reported immediately, and the hirer may be responsible for repair costs.

               •             Any equipment provided by Yarn Studios must be used properly and returned in good condition.

6. Cancellations & Changes

               •             Yarn Studios reserves the right to cancel bookings due to unforeseen circumstances.

               •             If the hirer needs to cancel, refunds or rescheduling will depend on the notice given.

7. Conduct & Compliance

               •             The hirer must comply with all Yarn Studios regulations.

               •             Illegal or inappropriate activities are strictly prohibited.

               •             Yarn Studios reserves the right to terminate any booking if terms are violated.

8. Fire Safety & Emergency Procedures

               •             Fire exits must remain clear at all times.

               •             The hirer must ensure all attendees are aware of fire evacuation procedures, they are responsible for the safe evacuation of their guests.

               •             A copy of the fire evacuation plan for Block A will be available on entry located on signing in/out table ground floor.

9. Access & Security

               •             The hirer is responsible for opening and securing the event space if required.

               •             Yarn Studios is not responsible for any items left behind.

               •             If the event occurs outside regular hours, the Helpdesk number is available on the fire evacuation plan.

10. Electrical Usage

               •             Standard electrical usage is included in the hire fee. However, excessive use may result in additional charges based on daily meter readings.

               •             The hirer must not overload the electrical supply.
